Executive summary
What Acellas delivered, and what it means for the business
ClickUp moved sales-assisted quoting from native Opportunities onto Salesforce Revenue Cloud contracts and subscriptions, with 20 products on one quote-to-renewal path.
Renewals, ramps, uplift caps and co-terming now run from the contract, and Finance reads line-level ARR, MRR, ACV and TCV from ASC 606-compliant data.
Active legacy deals moved onto Contracts and Subscriptions without pausing renewals, and an event-driven MuleSoft integration carries finalized orders to NetSuite and provisioning.
Worth weighing if quoting, renewals and ARR still live outside one contract record in your own org.
20 products, one quote-to-renewal path
The challenge
ClickUp had grown product-led to 800,000 teams and more than 85,000 paying businesses, and its sales-assisted motion had to scale alongside self-serve. Like most product-led software companies at that stage, ClickUp quoted on native Salesforce Opportunities, without the contracts and subscriptions that drive amendments and renewals. Ramps required multiple opportunities, and ARR lived outside Salesforce as annualized MRR. Moving to a contract model meant migrating every active sales-assisted deal from Opportunities, line items and the homegrown ClickUp CRM into 212 Contract and 175 Subscription fields. The source records lacked billing frequency and plan type, legacy identifiers had to survive, and renewals and self-serve seat changes could not pause.
Why ClickUp chose Acellas
ClickUp wanted a Revenue Cloud and process-integration architect who would also run the program and challenge existing technology and process design rather than replicate it. Acellas brings two decades and more than 60 full lifecycle Salesforce Quote to Cash implementations, all for technology companies, and works as an extension of the client's RevOps team. ClickUp embedded our experts directly in its sandboxes and its own IT PMO workspace.
Results
Acellas turned an assessment with finance, sales and RevOps into 56 requirements across 7 families and ran them as 217 tracked tasks inside ClickUp's own product. We configured Salesforce Revenue Cloud with Advanced Approvals so contracts and subscriptions drive every amendment and renewal, with ramps, uplift caps and co-terming, and Ironclad generates order forms only from approved quotes. We architected an event-driven MuleSoft integration to NetSuite and migrated active deals onto Contracts and Subscriptions through sample loads, mock loads and Data UAT. The deal desk now works from one quoting path, reps close faster within guardrails, and Finance reads line-level ARR, MRR, ACV and TCV from ASC 606-compliant contract data.
What Acellas delivered
Contract-driven renewals with uplift caps
Salesforce creates renewal quotes when a deal is contracted, gives each contract one of three pricing behaviors (Same, List or Uplift), enforces uplift caps and co-terms amendments at contracted prices.
Ramped seats on one opportunity
Reps quote ramped seat quantities on one opportunity from a 20-product catalog, with end dates calculated automatically and iARR and ARR visible in the quote line editor.
Approval matrix with financial context
Acellas built threshold-driven approvals with delegation, recall and email-reply decisions, plus 12 templates that carry ARR, ACV, TCV, discounts, credits and payment terms into every request.
Event-driven integration architecture
Acellas designed a MuleSoft Sales Process API around the Order Finalized event to coordinate 4 downstream flows: NetSuite sales orders, provisioning, self-serve conversion and true-ups.
Legacy deals migrated onto contracts
Acellas migrated active sales-assisted deals from Opportunities and line items onto Contracts and Subscriptions across 212 and 175 mapped fields, then generated renewals for every migrated contract.
Data migration and transformation
ClickUp's sales-assisted history lived in 2 Salesforce objects, Opportunity and Opportunity Line Item, with subscription detail in the homegrown ClickUp CRM. Acellas scoped the load to won, closed deals with active service dates, staged every source in a superset database that mirrored the Salesforce object model, and mapped 212 Contract and 175 Subscription fields with record filters, transformation rules and population checks. Acellas led the data cleansing, setting self-serve start dates for ASC 606 compliance and filling in missing billing frequency and plan type. Our team then de-duplicated and transformed the records and loaded Contracts before Subscriptions, with automation paused. Every cycle, from 2 sample loads through a mock migration, a purge-and-reload and 2 Data UAT rounds, ran record-count logs, random-sample mapping checks, per-object Salesforce reports and side-by-side match reports, and users amended and renewed migrated contracts before sign-off. Acellas then generated renewal opportunities and quotes for every migrated contract, and the renewal pipeline never paused.
Business benefits
Faster time to close
Reps build ramped, co-termed quotes on one opportunity, see required approvals before submitting, get instant pricing and generate Ironclad order forms from the approved quote, so ClickUp deals reach signature faster and reps spend their time selling seats.
One catalog behind every sales team
Twenty products, from plan seats and automations to managed and integration services, sit in one catalog and one pricing engine behind new business, expansion and renewal quotes, and one Professional Services SKU replaces the tiered set.
New products without IT projects
ClickUp launched EU Hosted Enterprise Seats and Free Seats through configuration, with annual per-user pricing and seat minimums, and Prodly promotes catalog changes from sandbox to production, so RevOps changes pricing without custom code.
ARR, MRR and churn in one view
ARR, iARR, MRR, ACV and TCV now live on every quote line and subscription in Salesforce rather than in a separate analytics tool, so revenue dashboards show recurring revenue, churn, pricing effectiveness by discount reason and order status as deals move.
ASC 606 and IFRS 15 compliant data
ClickUp's contract and billing data are now ASC 606 and IFRS 15 compliant: amendment start dates follow the signed order, and every subscription carries its term, price and billing frequency into NetSuite.
Ramps, scheduled uplifts and co-terming
Ramped seat schedules sit on one opportunity, renewals continue from the segment nearest the renewal date, each contract applies Same, List or capped Uplift pricing, and amendments co-term at contracted seat prices, so planned increases apply automatically.
Operational benefits
Auditable amendments and renewals
Salesforce generates renewal quotes on contracting and updates them when a contract amends, and every amendment traces to its contract, so the deal desk and accounting no longer reconcile deal data across systems after Closed Won.
Governed discounts, faster approval cycles
Advanced Approvals route plan, services and payment-term exceptions through serial and parallel chains to deal desk, finance and legal, with delegation and email-reply decisions, while a required Primary Discount Reason leaves an audit trail for every concession.
Executed paper on the Account
Ironclad generates order forms only from an approved primary quote, with free-seat and upgrade-credit clauses, and executed MSAs and order forms attach to the Account, so legal, customer success and renewal reps find the governing paper in one place.
Quote to cash without re-keying
The Order Finalized event replaces point-to-point Apex calls and a daily batch, and new Order fields for workspace ID, NetSuite order ID and provisioning status let sales, finance and support trace each deal to its invoice and workspace.
Guardrails that keep provisioning clean
One paid plan type per quote, one automation tier per workspace and default annual terms with calculated end dates mean what reps quote is what ClickUp provisions and bills, and ARR reports cleanly by plan.
One contract record, ready for AI
Migrating active sales-assisted deals onto contracts and subscriptions retired the custom opportunity automation layer and gave sales, finance and the deal desk one system of record, the clean foundation that automation and AI agents need.
